Implement Fleet Management Policy

Implementing a new fleet management supplier can be a daunting prospect for any large multinational to take on. In some cases the benefit drivers for change can be outweighed or diluted by some of the complexities and seemingly entrenched processes that need to be unpicked and re-established with the new supplier. The good news is that there are three simple factors that have paved the way for many companies to smoothly implement a new fleet management policy.

Looking at companies who have been successful in outsourcing their fleet management with maximum efficiency and cost benefits, the following three factors caught my attention.

1 – Plan it

A major change is usually only successful if the majority of your employees are willing to help make it a success. Having said that, the only way in which to capture employees’ hearts and minds is through credible communication. It’s not enough for your employees to read about plans and changes in an email or yet another newsletter. In all the successful case studies I’ve been looking at, the business vision was kept in the forefront and constantly incorporated in all communications to both stakeholders and employees alike.

2 – Do it

Recognize what I call the ‘small victories’. Rome wasn’t built in a day. Neither will your new fleet policy be implemented in one sweep. Create a feeling of accomplishment and show the change programme is delivering according to expectations. Do so by keeping the implementation plan simple: focus on the key elements and don’t try to incorporate too much too soon. Communicate your plan to your employees and be sure to explain how it ties into your company’s vision.

3 – Celebrate it

Think of short-term wins as more than luck. Luck is opportunity coming together with preparation. Your wins come about through planning, organizing and implementing the plan to make things happen. It is important to make sure that visible results lend sufficient credibility to the change effort.

What seems to be the most effective aspect of this approach is the power of simplicity and keeping it “small”. Not only because it is quite literally easier to swallow, but because it also gives the added flexibility of fine-tuning where necessary, without undermining the policy vision.
